How each tool counts usage

Zapier counts tasks. A task is one action step that completes successfully: creating a record, sending a message, adding a row. Triggers do not use tasks, and neither do built-in utility steps such as Filter, Formatter, Paths, Delay and Looping. Failed steps are not charged. So a Zap with a trigger and four actions uses four tasks every time it runs.

n8n counts executions. One execution is one complete run of a workflow, with any number of steps. n8n’s pricing FAQ is explicit that step count and data volume do not change this.

That difference is small for one-action Zaps and large for anything longer. Here is a common example: when a new order comes in, create an invoice, add a row to a spreadsheet, notify the team, and email a receipt. In n8n it looks like this:

An n8n workflow with a webhook trigger for new orders followed by four steps: create invoice, add row to sheet, notify team and send receipt

In Zapier, the same workflow is a trigger plus four actions, so it uses 4 tasks per order. In n8n it is 1 execution per order.

What that costs in practice

Prices below are the monthly-billed rates on each vendor’s pricing page; yearly billing is cheaper on both.

Orders per month Zapier tasks Zapier plan needed n8n executions n8n plan needed
150 600 Professional 750 tasks: $29.99 (checked Oct 15, 2026) 150 Starter: €24 (checked Oct 15, 2026)
500 2,000 Professional 2,000 tasks: $73.50 (checked Oct 15, 2026) 500 Starter: €24 (checked Oct 15, 2026)
2,000 8,000 Professional 10,000 tasks: $193.50 (checked Oct 15, 2026) 2,000 Starter: €24 (checked Oct 15, 2026)
5,000 20,000 Professional 20,000 tasks: $283.50 (checked Oct 15, 2026) 5,000 Pro: €60 (checked Oct 15, 2026)

At low volume the two cost about the same. From a few hundred orders a month, Zapier becomes several times more expensive for this workflow, and self-hosted n8n is cheaper still: a server from about $6.50 a month with no execution limit. Our guide to self-hosting n8n with Docker shows how, and you can test your own numbers in the automation cost calculator.

The comparison is not always this one-sided. A Zap with one action and a filter uses one task per run, and if most of your automations look like that, Zapier’s task count stays low. Count the action steps in your real workflows before you decide.

Watch the overage setting. On newer Zapier accounts, pay-per-task billing is on by default, so going over your plan’s task limit adds extra charges at a higher per-task rate instead of pausing your Zaps. You can turn it off in billing settings, in which case Zaps pause at the limit until the next billing period.

Ease of use

Zapier is the easiest automation tool to start with. You pick a trigger app, pick an action app, map a few fields, and the Zap runs. The editor is a simple vertical list of steps, and Copilot can draft a Zap from a plain-English description. Someone with no technical background can have a working automation in minutes.

n8n uses a visual canvas where nodes connect with lines, which makes branching and merging clearer but expects more from you. You will work with JSON data and short expressions such as {{ $json.email }}. In return, n8n shows the input and output of every node side by side, and you can re-run a single node with pinned test data, which makes debugging faster on complex workflows.

Integrations

Zapier has the largest library of ready-made app connections of any automation tool, and many software vendors build and maintain their own Zapier integrations. If you rely on a niche SaaS product, Zapier is the most likely to support it out of the box.

n8n covers the popular apps with built-in nodes, and anything with an API can be reached with the HTTP Request node, often by importing a cURL command from the app’s documentation. Self-hosted installs can also add community nodes. Before choosing, check that your must-have apps are supported in both, and how deep that support goes.

AI and agents

n8n has built-in AI Agent nodes with memory, tool use and support for most model providers, including models you host yourself. You pay the model provider directly, so AI costs stay visible and separate.

Zapier offers AI steps inside Zaps and a separate Agents product with its own pricing (a free tier, then paid plans billed by activity). For adding a quick AI step to an existing Zap, Zapier is simple. For building agents that call tools, branch and keep memory, n8n gives more control and costs less at volume.

Hosting, data and security

n8n can run on your own server, so data never has to leave your infrastructure. That matters for agencies with strict clients, regulated industries, and anyone who wants a fixed monthly cost. Zapier is cloud only. It holds the usual security certifications and is simpler to run, since there is nothing to maintain, but your data and your bill depend on Zapier’s platform.

Strengths and weaknesses

n8n

Strengths

  • One execution per run, so multi-step workflows stay cheap
  • Free to self-host with no execution limit
  • Code nodes in JavaScript and Python
  • Strong AI agent tooling

Weaknesses

  • Steeper learning curve
  • Smaller library of ready-made app nodes
  • Self-hosting means you handle updates and backups

Zapier

Strengths

  • Easiest tool to learn
  • Largest library of app integrations
  • Utility steps like Filter and Formatter use no tasks
  • Nothing to host or maintain

Weaknesses

  • Every action step uses a task, so costs grow fast with volume
  • Free plan limited to two-step Zaps
  • No self-hosting
  • Overage charges apply by default on newer accounts

When Zapier is the better choice

Choose Zapier if the people building automations are not technical, if your Zaps are short (one or two actions), if your volume is low, or if a key app is only available on Zapier. A small business connecting a booking tool to a calendar and an email list will be up and running fastest on Zapier.

When n8n is the better choice

Choose n8n if your workflows have several actions, run often, use AI models, or handle data you would rather keep on your own server. Teams that outgrow Zapier usually notice it on the invoice first: once a few multi-step Zaps run hundreds or thousands of times a month, the bill climbs quickly. For workflows like the order example above, moving to n8n cuts the monthly cost by more than half.

Frequently asked questions

Is n8n cheaper than Zapier?

For multi-step workflows at any real volume, yes, usually by a wide margin, because n8n charges per run and Zapier per action. For a handful of one-action Zaps, the costs are similar, and Zapier’s free plan may be enough.

Can I import my Zaps into n8n?

There is no one-click import. You rebuild each Zap as an n8n workflow. Start with the Zaps that use the most tasks, since moving them saves the most money.

Does Zapier charge for triggers?

No. Triggers and utility steps such as Filter, Formatter, Paths and Delay do not use tasks. Only successful action steps do.

Is n8n harder to learn than Zapier?

Yes. Expect a few hours to get comfortable with n8n’s data handling, compared with minutes for a first Zap. If you also compare Make, see our n8n vs Make comparison.
